How to Customise your Emails

When you set up an event or a membership category on Eventrac, we create emails that automatically send to your participants or members to save you the hassle of having to do it yourself. These include entry confirmation emails, event transfers, refund notifications and many more.

Step 1:
You can choose which ones of these you would like to activate. To see the email selection available for your event, make sure you are on the Event Platform, and navigate along the top of your dashboard to the 'Emails' section.

Here you can see the emails which have been enabled.

Step 2:
If you click on the plus symbol by 'More Emails', it will show you the choice of emails which you can activate for different scenarios. If, for example, you do  not allow transfers or refunds for your event, then the emails corresponding to these actions will not be used.

Once you've enabled an email, you can customize it to include any extra information you would like participants to know about when they sign up.

Step 3:
Click 'Edit' to go into your email. Here, you can add your own customised text, which will appear in the preview area for you to see how it will look.

You can also add your own email to either the CC'd section, or to the BCC'd section if you don't want it to be visible to entrants. This is useful if you would like to receive a notification every time someone signs up to your event. Alternatively, you can set your stripe preferences to send you notificartions every time someone makes a payment instead.

Step 4:
If you would like to customise the look of your email further, such as logo and the social links, you can access the email builder by adding the following to your URL:

/admin/emails

As shown below:

Then click 'Customise' on the email you would like to further edit.

Step 5:
Here, you can edit the text font, colour and size.

You can add more images, change your social links and add more rows from here.

You can also change your email background and content area, within the settings area.

And once you're happy with it, you can send a test email to make sure it looks as planned when it arrives in your inbox.

Beautiful emails take time and patience, but you want the best presentation of your event to arrive into your participants inbox when they commit to your race. So spend some time editing the text and making sure you have all the right information there, as it can also save you time down the line explaining details to entrants.
