Terms & Conditions

By entering any Wild Deer Events Ltd event, participants agree to the following Terms & Conditions:

1. General

  • All events are organised by Wild Deer Events Ltd and operate under UKA & BTF regulations.

  • Wild Deer Events Ltd holds £10 million Public Liability Insurance.

  • Wild Deer Events Ltd reserves the right to refuse entry to any participant.

2. Participant Responsibility & Liability

  • Participants accept that the organisers shall not be liable for any loss, damage, injury, claim, cost, or expense arising from participation in any event.

  • Participants may only enter and compete if they are in good health and do so at their own risk.

  • Participants must be capable of completing the full event distance. Entries will not be accepted from those intending to walk the entire course. Some events operate strict cut-off times.

  • Participants must follow all instructions from event officials, marshals, emergency services, and medical staff throughout the event. Failure to do so may result in disqualification.

2a. Waiver & Assumption of Risk 

  • By entering, participants acknowledge and accept the inherent risks associated with endurance and outdoor events, including but not limited to injury, illness, accidents, falls, wildlife, adverse weather, and varied terrain.
  • Participants take part entirely at their own risk and are solely responsible for their own safety. By participating, individuals confirm they understand these risks and voluntarily choose to participate.
  • Wild Deer Events Ltd is not responsible for any personal injury, loss, or damage (save for liability that cannot be excluded by law).

2b. Medical Declaration & Emergency Consent

  • Participants confirm they are physically fit, free from medical conditions that may endanger themselves or others, and sufficiently trained for the event.
  • Participants must immediately withdraw from the event if they feel unwell or if instructed by medical personnel or event officials.
  • Participants consent to receiving first aid and emergency medical treatment if required. Any costs associated with such treatment are the responsibility of the participant.
  • It is the participant’s responsibility to inform event staff of any relevant medical conditions prior to the event.

3. Data & Privacy

  • Participants consent to the storage of their personal data for event administration purposes.

4. Entries, Transfers & Fees

  • All entry fees are non-refundable.

  • Entry credit may be transferred to a future event:

    • Up to 14 days before event day for trail runs, duathlons, sportives, Wild Hybrid Events.

    • Up to 1 calendar month before event day for ultras and triathlons, including The Geordieman.

  • £5 administration fee applies for event deferrals or name changes.

  • Discounts do not apply to events already on Early Bird pricing.

5. Event Postponement

  • If an event is postponed due to weather or venue issues, an alternative date will be arranged.

  • No refunds are issued due to postponement under any circumstances.

  • If unable to attend the new date, participants may:

    • Transfer to another Wild Deer event, or

    • Defer to the same event the following year (if available), or

    • Transfer their place to another athlete (no admin fee).

6. Age Requirements

  • Minimum age for running events over 10km is 15 years on the day of the event.

  • Minimum age for multisport events is 17 years on the day of the event.

7. Race Rules

  • Race numbers are non-transferable without prior approval. Competitors found using another person’s number will be disqualified and banned.

  • No headphones are permitted.

  • Prams, pushchairs, and wheelchairs are not permitted unless otherwise stated.

  • Running with dogs is only permitted where the venue allows; maximum one dog per participant, on a harness and under full control.

  • Triathlon events may be changed to duathlon format if weather conditions require it.

8. Cycling Events

  • A cycling helmet must be worn at all times. Participants without a helmet will not be allowed to start.

  • Participants must adhere to the Highway Code at all times.

9. Conduct & Complaints

  • Any concerns should be directed to info@wilddeerevents.co.uk before, during, or after the event.

10. Photography & Media

  • Event photography is the property of Wild Deer Events Ltd and may be used for marketing without additional consent.

  • Appearance in photography does not entitle participants to complimentary entry to future events.

11. Prizes

  • Age-group prizes require a minimum of three finishers in the category.

  • Age-group winners must email us post-event to claim their discount.

  • Overall 1st, 2nd, and 3rd place finishers are not eligible for age-group discounts.
